Attendance policy and procedure

Consistent attendance is a vital protective factor for the safety and wellbeing of children. Our procedures ensure that every child is accounted for through diligent monitoring and clear communication with families.

Monitoring and records

We maintain accurate attendance records to ensure child safety and monitor for any concerning patterns. These records are reviewed regularly alongside our safeguarding and incident summaries to ensure a proactive approach to child welfare.

Emergency contact requirements

To ensure we can reach a responsible adult quickly in any situation, we require at least two emergency contact numbers for every child in our care.

Procedures for unexplained absence

If a child does not arrive as expected and we have not received prior notification, we follow a strict timeline to confirm their safety:

  • Within 30 minutes: We will contact the parents or carers to confirm the child's safety.
  • Staged escalation: If parents or carers are unreachable, we utilize an attendance escalation log. We will attempt to reach all listed emergency contacts, starting with the primary contact, while continuing to try and reach the parents.
  • Official escalation: If no contact is made with any responsible adult within one hour of the expected arrival time, or if the absence raises specific concerns, we will escalate the matter. This includes contacting local children's services (Onecall) or the Police (999) if we suspect a child or family is at immediate risk of harm.

Our documentation uses specific symbols to ensure clarity in record-keeping:

  • Operational documentation: Live policies, procedures, and risk assessments.
  • Parent/carer action: Indicates where information, action, or a signature is required from you.
  • Confidential document: Private information stored securely.
  • Reference guide: Additional support or reference information.
  • Key details transferred: Limited information shared for cross-referencing on active records.
  • Digital information: Documents and updates available to view on the Seven Steps Childcare website.
